You may search in one of two ways.
Option 1: Specific Item Search
If you are searching for a specific item or items, and you know the item(s) you are looking for, click inside the SEARCH FOR text field.
Enter as much of the description as you know. Then click on the search button. After a few seconds (normally), the screen will display the results of the search.
Option 2: Browse Around
If, instead of a specific item, you wish to browse the database, the sub-options on the right hand side are there to help you.
Sub-Option 1: GROUPS.
Currently, there are 5 groups to choose from.
Group 1: ALL TITLES.
Group 2: RUN-OUT TITLES. When a title is about to become out of print, they are included in this group.
Group 3: NLA's. When a title is no longer available, it is included in this group.
Group 4: NEW PRODUCTS. When a title is about to become available, or has been available less than 6 months, they are included in this group.
Group 5: PRICE SPECIALS. When a title is given a temporary price cut, it is included in this group. Note, not all customers may be allowed access to this group.
Sub-Option 2: SUPPLIERS.
You may select all suppliers, or just one. Click on the box to see the full selection.
Sub-Option 3: CATEGORIES.
Examples of categories are books, jewellery, framed prints, cards, etc. You may select all categories, or just one. Click on the box to see the full selection.
Sub-Option 4: SUB-CATEGORIES.
Having selected a specific category (eg BOOKS), examples of sub-categories may be Children, Fiction, Gift Books, etc. You may select all sub-categories, or just one. Click on the box to see the full selection for the category you have chosen.
Finally, you may choose the order in which you wish to view your selection.
Order option 1: TOP SELLERS (PAST 12 MONTHS).
Items are displayed in top seller order, based on total sales $ amount over the past 12 months. Naturally, the actual sales figures themselves are not displayed. Items with zero sales are excluded.
Order option 2: CURRENT TOP SELLERS (ORDERS PLACED).
Items are displayed in top seller order, based on total $ amount ordered over the past 30 days. Naturally, the actual order figures themselves are not displayed. Items with zero orders are excluded.
Order option 3: TITLE. Items are displayed alphabetically by title.
Order option 4: UPC/EAN/ISBN. Items are displayed numerically by whichever of these codes has been entered. If an item has none of these codes, it is excluded.
Order option 5: CODE. Items are displayed in supplier code order.
Order option 6: AUTHOR/ARTIST. Items are displayed alphabetically by author/artist. If an item has no author or artist, it is excluded.
When you have made your selection, click on the search button. After a few seconds (normally), the screen will display the results of your search.
The first 20 items that meet the conditions of the search are displayed.
Each item's status is as follows:
1. A tick to show that the item is in stock (but no more than 4 copies).
2. Two ticks to show that good quantities of the item are in stock (at least 5 copies).
3. Three ticks to show that bulk quantities of the item are in stock (at least 100 copies).
4. "TOS" to show the item is temporarily out of stock.
5. "NLA" to show the item is no longer available.
6. "S/O" to show that the item is currently out of stock, and will only be brought in for you if a special order is received. These orders are a firm sale and may not be cancelled.
If there is a "PICTURE" link inside the More Details column, clicking on the "PICTURE" will bring up a picture of the item and sometimes a description of its contents.
If you wish to add the item to your shopping cart, click on the "ORDER" box. You have the option of
(1) Altering the quantity to order (the default quantity is one item)
(2) Adding a comment relating to the item (up to 40 characters)
Click on the "ADD ITEM TO SHOPPING CART" box to add the order to your shopping cart. You can then return to the search result.
If there are more than 20 items in the search results, click the "NEXT" box at the bottom of the page to go to the next page. If there are more than 2 pages (i.e. 40 items), you may click on a specific page number. Clicking on the "PREV" box takes you back to a previous page.
Normally, this page only needs to be accessed once for each PC. As the program assumes that the customer ID will be stored on the local hard drive as a cookie, there is only a need to enter the customer ID once.
If you are using a PC temporarily, and do not wish to store the customer ID on the local hard drive, or if you wish to remove the customer ID from the local hard drive, clear the tick against the phrase "Automatically remember my Customer ID", after keying in a valid ID. (You clear the tick by clicking on the box). Then click the SIGN IN box to return to the Search Page.
Use this option to quickly enter an order where you know either the UPC/EAN/ISBN or the supplier code and merely need to enter specific quantities. (You may use the Enter key instead of the mouse to speed up your entry.) As you enter each line, the items are automatically added to the shopping cart.
Where your in-house software has been specifically customised to produce a purchase order in a format acceptable to this program, this option is available.
Where an item that you have ordered cannot be located, that order line will be entered as a comment line with an error message attached.
In order that your in-house software can be modified to produce a pre-formatted order file, this page has instructions on how to do it.
After you have generated an order from the contents in the shopping cart, you can view the order up until the point when it is downloaded to the supplier's computer (this occurs at set times - 7:30am 9am 12noon 3pm and 6pm AEDST (Australian Eastern Daylight Saving Time). Afterwards, the contents of the order are available for viewing in the Orders Pending link.
After an order has been downloaded to the supplier's computer the contents of the order are available for viewing in this link until an invoice has been generated. Afterwards, the contents of the order are available for viewing in the Invoices link.
The contents of all invoices and credit notes issued since the beginning of
the previous month may be viewed/printed in this link. Click on the box to see which transactions are available.
A running balance of invoices, credit notes and payments over the past 12 months may be viewed/printed in this link.
The contents of all purchases (total quantity supplied of every product) since 1st January of
the previous calendar year may be viewed/printed in this link. You may search for a specific product, or browse your purchases file. As well as a total quantity supplied, the date of the last purchase of every product is also shown.
Back orders are divided into 3 groups, (1) those that are ready for delivery now, (2) those that are either awaiting stock to arrive or are not to be supplied until a future date, and (3) those that have been recently cancelled. If you have back orders on file, you may view the details here.
After an item has been added to the shopping cart, the contents of the shopping cart may be viewed on this page.
The shopping cart is divided into 2 sections:
Section 1: This order items for delivery now. These are items that are on this order which are currently in stock.
Section 2: Back order items for future delivery. These are items that are on this order which are not in stock, and are therefore being back ordered for future delivery.
The quantities ordered and any comments relating to specific items may
be modified by clicking the "MODIFY" button next to the appropriate item.
If you then wish to remove the item from the shopping cart, click the "REMOVE ITEM" box.
With any other changes, click the "SAVE CHANGES" box to confirm the modification.
This only applies to an upload of a pre-formatted order file.
After a pre-formatted order file has been uploaded, there may be error messages generated by the program. These should be read, and any necessary action taken. For example, an ISBN or supplier code may not have been found due to a typing error. You should add the correct item now. After all error messages have been checked, you can delete all of them at once by clicking on this button.
Any special message lines that you wish to send to the supplier may be entered by clicking here.
Clicking this button will, as expected, remove all items from the shopping cart, so use with care. The program will ask once only for a confirmation. Press "OK" to delete all the items. Press "CANCEL" to leave the items there.
This option, (or the option "ORDER NOW"), will transfer the contents of the shopping cart to the order file. In this option, you have one last opportunity to change your mind and "Go Back" and make further changes. If you choose to "Finish the order", no more changes to the order may be made.
Firstly, a delivery address is requested. Normally, this is the same as your address, but it may be altered.
A customer reference is also requested.
If you have second thoughts about sending the order, you may click on the "GO BACK" button. Otherwise, click on the "FINISH ORDER" button.
The program then prompts you to print the finished order, though you may cancel the printing. Note that cancelling the printing (if you choose it), cannot now cancel the order.
An email is then sent to your email address to confirm the placement of the order.
At set times - 7:30am 9am 12noon 3pm and 6pm AEDST (Australian Eastern Daylight Saving Time), orders are downloaded to the supplier's computer for processing.
PLEASE NOTE - If you leave the shopping cart by exiting the program before you transfer the contents in the shopping cart to the order file, then what you have entered will not be lost. The items in the shopping cart will still be there the next time you log in.
